Attention Student Coordinators: Clinical Student Placement request forms must be completed for each student and faculty for every rotation by the School Coordinators as soon as students are assigned to an approved rotation in ACEMAPP at least 4 weeks prior to their scheduled student orientation date. If these are received late, student orientation as well as placement start date may be delayed.
In person Nursing Student Orientation is required and availability is very limited. School Coordinators should contact clinical.students@tuality.org as soon as possible after a rotation is approved (even if a specific student is not yet assigned) to schedule their students for in-person orientation. Please communicate this in-person orientation date with the students at or very soon after it is determined that they will be assigned to that rotation. Rescheduling orientation for any reason may result in a delayed placement start date.
DUO Mobile is now required in order for students to complete student onboarding off site. Please inform students that they will be sent a link via text message to the phone number listed on the HMC placement request form from OHSU to set up their DUO access. They must download the DUO app on that phone and click the link within 24hours before it expires. Should the link expire, they will need to contact the IT department at 503-681-1097. This is likely to cause delays in their ability to set up their accounts remotely which could delay onboarding, student orientation, and/or their requested placement start date. DUO Instructions
Please email the student’s school photo or a suitable photo to be used for their Hillsboro Medical Center Identification Badge as soon as possible but at least one week prior to their scheduled student orientation. The photo should be from the shoulders up, in front of a blank background, looking straight ahead just like a passport photo.
Please ensure your organization's affiliation agreement and certificate of insurance are up to date. Please allow a minimum of 6weeks for affiliation agreement renewals. Students and faculty assigned to an approved rotation at Hillsboro Medical Center should complete the following items as soon as possible Completed documents and certificates should be sent to clinical.students@tuality.org at least 5 business days prior to their scheduled orientation date.
Students and Faculty will receive an onboarding email 1-2 weeks prior to your scheduled student orientation
Once you have received your onboarding email and DUO mobile is set up on your phone, follow these instructions to set up your accounts and complete your student onboarding: Student Account Set Up Instructions
Your onboarding email will include the following information: (Please note: Student orientations should be prescheduled by school coordinators in advance)
• Your Tuality ID
• Your Tuality Email address
• Your OHSU ID
• Your in-person student orientation information.
• A list of your required training based on your placement location and access needs.
All Nursing Students must complete the following training in the OHSU Compass system:
Infection prevention
Privacy and security
o Additional training may be needed for access depending on your placement location.
Glucometer training: Nursing students placed in ED, Med/Surg, 4W, PCU, TOPS/PACU, ICU, OB, and Geri-Psych should complete the Nova Stat Strip Glucometer training: Brainshark Nova Stat Strip Training
Epic access is managed by OHSU who require training based on level and location. Students must set up their OHSU accounts and log into the OHSU Compass Learning management system to complete training. Access cannot be requested until training certificates are received. Once certificates are received, it can take up to 5 business days for access to be available. *
Omnicell Access: Required training is available on the OHSU Compass Learning management system. Access is requested by hand delivering your signed Omnicell form to the inpatient pharmacy which is usually accomplished during student orientation.
• If at any time during your clinical placement you have been exposed to or have symptoms of COVID 19 or another communicable illness (sore throat, diarrhea, fever, etc.) do not come to your clinic site.
• Contact your preceptor, department manager, and employee health at 503-681-1444 for further instructions.
• If you need to extend your clinical placement due to illness, please contact me and your school as soon as possible.
• Student injuries are very rare. Should you experience an injury during your clinical, seek medical attention as needed, then contact the Employee Health Department at 503-681-1444 for further instruction.
• Should an adverse event occur, requiring an incident report (such as a student error negatively impacting a patient or student injury):
• Report incident to preceptor or onsite faculty and department manager immediately who will complete an incident report.
• Follow all applicable policies and procedures.
• Report incident to (sarah.clarke@tuality.org) and your faculty as soon as possible.
