School Coordinators:
Once a rotation has been approved in Acemapp, school coordinators should complete an Online Student placement request form for each student and cohort faculty: Clinical Student Placement Request Form
This should be completed at least 4 weeks prior to the requested start date whenever possible.
Please provide a current Certificate of Insurance with Tuality Healthcare as additionally insured.
Please Coordinate Student Orientation and Epic training dates as soon as possible as dates and availability are limited
Once a student or Cohort faculty is assigned to an approved rotation, the following items should be completes as early as possible, but at least 3 business days prior to their scheduled onsite student orientation:
Nursing Students on ED, Med/Surg, PCU, 4W, TOPS/PACU, ICU, OB, and Geri-Psych should also complete: Complete the Nova Stat Strip Glucometer training: Brainshark Nova Stat Strip Training
Documents and Certificates can be email to Sarah.Clarke@Tuality.org and/or uploaded to Acemapp.
Each student will be sent an onboarding email approximately 1-2 weeks prior to their scheduled start date. This email will include their individual Tuality and OHSU IDs and instructions for setting up their OHSU and Tuality network accounts as well as Tuality email if provided. Instructions for logging into the OHSU Compass Learning management system to complete any required site specific trainings will also be provided at this time.
Students are required to attend a student orientation prior to their first day of clinicals. This should be arranged by school coordinators in advance whenever possible. Student orientation will include all or part of the following: Review HMC Parking and Badge guidelines, introduction to Tualipedia including instructions for looking up policies and procedure in MCN, N95 fit testing, a photo identification badge, and glucometer competency check off.
Epic Access for Students All students requesting/requiring the privilege to document in patient medical records are required to complete online and live virtual Epic trainings. A list of required classes will be provided to students in their onboarding emails based on the department they are placed. Epic classes are scheduled by OHSU months in advance and space is limited. HMC is not able to alter this schedule in any way. Often classes are only available once or twice per month. School coordinators should coordinate training dates with HMC and Students as early as possible. Access is provisioned through OHSU after all required training are completed and a request is sent by HMC to the Epic Access Request Team.
