Piedmont Healthcare – ACEMAPP FAQs

Note: All students, regardless of previous rotations at Piedmont, must now be credentialed through ACEMAPP.

1. My student or clinical faculty is employed at Piedmont. How do they apply for employee designation in ACEMAPP?

Students and clinical faculty currently employed at Piedmont can apply for employee designation by logging into their ACEMAPP account and completing one of the following applications:

  • Piedmont Healthcare Faculty/Employee Confirmation Instructions are available in the Submitting Applications help article.
     

2. Does a preceptor or clinical faculty member need to be assigned to the rotation roster in ACEMAPP?

Yes, but only if they:

  • Will be on-site with students during the rotation, or
  • Will be completing evaluations or surveys related to the rotation in ACEMAPP.

Important: If a faculty member or preceptor on the roster is non-compliant—even if the student is compliant—the rotation cannot be sent to Piedmont until all assigned individuals meet compliance requirements.
 

3. How can I check if my students are fully compliant in ACEMAPP? When are they cleared to start at Piedmont?

  • From your school dashboard, go to the 'Members' tab.
  • Click 'Students' under the Rotations column.
  • Hover over the red X under the Compliance column to see a list of incomplete items.

Note: Students must be fully compliant at least 10 days before the start of the rotation. If the rotation roster has not been sent, students cannot report on-site. Piedmont will email the school directly when students are officially cleared to begin.
 

4. How do students and faculty complete Piedmont’s Background Check and Drug Screen requirements?

Requirements must be completed via InfoMart (Advantage Students), following this ACEMAPP help article. Background checks and drug screens are required every 1.5 years.

5. Where are the background check and drug screen completed, how long do they take, and what is the cost?

  • Completed through: www.advantagestudents.com
  • Processing time: Up to 72 hours
  • Fees: Paid by the student/faculty. Additional fees may apply for out-of-state searches.
     

6. My student/faculty shared reports in Advantage Students, but ACEMAPP still shows them as incomplete. Why?

Sharing alone is not enough. The student/faculty must:

  • Link their Advantage Students and ACEMAPP accounts
  • Share their reports
  • Wait for manual review and approval in ACEMAPP

7. How do I verify or manually send a rotation roster in ACEMAPP?

ACEMAPP automatically sends rosters when all assigned members are compliant.

If a roster is not sent, students cannot rotate on-site.
 

8. How do I withdraw a rotation request?

  • Go to 'View Rotations'
  • Click the "Edit" pencil under the Actions column
  • Scroll down and change the Status to 'Withdrawn'
  • Enter a withdrawal reason
  • Click 'Save'
     

9. The roster was sent, but I need to change an assigned student. What now?

Piedmont does not allow changes to students after the roster is sent. If changes are needed, contact Marci Hanson at Piedmont. If updates are made, the rotation must be reapproved and all members must be compliant for the roster to be resent.
 

10. Our school has standard requirements, but Piedmont uses tiered ones. Will students still be cleared?

Not necessarily. Piedmont’s tiered requirements (e.g., TB, MMR, Varicella, Hep B) are more detailed. Students must meet both school and Piedmont-specific requirements separately.
 

11. How do students complete Piedmont’s tiered requirements?

  • Read all instructions for each tiered requirement.
  • Upload documents to the correct tier title.
  • Contact ACEMAPP Support at 844-223-4292 with questions.
     

12. A student's requirement expires mid-rotation. Can they continue?

Yes, but they must renew the requirement to stay compliant. The school is responsible for maintaining student compliance for the full duration of the rotation. ACEMAPP sends alerts for upcoming expirations.
 

13. My student’s rotation is approved in ACEMAPP. Are they cleared to start?

Not yet. Approval of the rotation is not the same as clearance to begin. All students must be fully compliant (all green checks), and the roster must be sent. Piedmont will email the school once students are cleared to report on-site.
 

14. Does the school approve student documents in ACEMAPP?

Yes. Piedmont asks that schools approve all uploaded documentation, including the Student Participation Agreement, to confirm all requirements are met.
 

15. Why has my student completed more than one Student Participation Agreement?

A new Student Participation Agreement is required for each rotation assigned at Piedmont. Faculty are responsible for ensuring the form is signed and submitted before the start of any rotation.
 

16. Is there a specific form for the Hepatitis B Declination?

Yes. A downloadable form is available under the ‘Hepatitis B Declination/Incomplete’ tab in ACEMAPP.

  • Required for students who decline, have not completed the vaccine series, or have not yet received a titer.
  • By approving this, faculty acknowledge responsibility for counseling the student/faculty on bloodborne pathogen risks.
     

17. My student is rotating at multiple Piedmont sites. Should I list all locations?

No. Each rotation request should list only one site location. If unsure, use the preceptor’s home facility or choose ‘Piedmont - Physician Group or Offsite’.
 

18. I’ve only assigned the clinical faculty so far. Should I update any settings while I wait to assign students?

Yes. Set the ‘Is this roster complete?’ toggle to ‘No’ in the Clinical Faculty tab. Once you assign students, change it to ‘Yes’. ACEMAPP will send the roster automatically once all assigned members are compliant.
 

19. What BLS certifications does Piedmont accept?

Accepted BLS providers include:

  • American Heart Association
  • American Red Cross
  • Military Network
