Preceptor Time Log Review

The time log feature allows students to document the hours they spend with a clinical site and preceptor. If required by your organization, preceptors are responsible for verifying and approving submitted logs. This Help Desk guide explains how preceptors can review and approve student time logs in ACEMAPP.


To Approve/Deny a Time Log

Step 1: Access Time Logs

From your home page, locate the Preceptor Notifications section and click the orange "You have X time log(s) to review" button. Alternatively, click the "Time Logs" tab at the top of the page.

NOTE: If you don’t see the Time Logs tab in your top navigation, click the "More" dropdown and select "Time Logs" from the list.

Step 2: Select Time Log Type (If Applicable)

If your organization uses multiple types of time logs, the Manage Time Logs table will appear. Click the appropriate Time Log Type link to continue.

If your organization uses only one type of time log, you’ll be directed straight to the Time Logs table—skip to Step 3.

Step 3: Review Time Logs

The Time Logs table displays submitted logs in two sections:

  • Requires Attention – Logs awaiting your review.

  • Historical – Logs that have already been approved or denied.

Click the "Requires Attention" button to begin reviewing pending time logs.

Time Logs Requiring Attention

Step 1: Access Logs That Need Review

Click the "Requires Attention" tab to view a list of time logs awaiting your review.

Step 2: Open a Time Log

In the Actions column, click the "Edit" (pencil icon) next to the time log you want to review.

Step 3: Review and Respond to the Log

On the time log review screen, do the following:

  1. Review the submitted time details.

  2. Select a status:

  • Approved

  • Denied

  • Needs Info (used when more information is needed before approval)

  1. (Optional) Modify the time fields if necessary.

  2. Enter feedback in the Preceptor Notes section.

NOTE: If you choose Needs Info, be sure to leave a note explaining what needs to be corrected.

If the time log includes attached Case Logs, they’ll appear at the bottom of the page. If none are attached, a message will indicate that.

Step 4: Save or Skip

After reviewing the log, choose one of the following options at the bottom of the screen:

  • "Save" – Saves your decision and closes the log.
  • "Save & Next" – Saves your decision and opens the next log needing review.
  • "Skip" – Skips the current log without making changes and opens the next.

Historical Logs

Step 1: Access Approved Logs

To view time logs that have already been approved, click the "Historical" tab within the time logs table.

Step 2: View Time Log Details

In the Actions column, click the "View" (eye icon) button next to the time log you want to view.

Time Log Reports

Step 1: Navigate to the Time Logs Tab

Click the "Time Logs" tab to access the time log section.

NOTE: If you do not see the Time Logs tab in your navigation bar, click the "More" tab and select "Time Logs" from the drop-down.

Step 2: Open the Reports Menu

Click the "Reports" button, then select "Time Logs Report" from the drop-down menu.

Step 3: Filter and Generate the Report

In the Time Logs Report screen, you will see a list of time logs associated with your account. Use the available filters to narrow down the results, then click "Apply Filters" to generate the report.

You can also export the report by clicking the "Export" button.

Step 4: Generate Time Logs Report by Rotation

To view a report based on your rotations, click the "Reports" button and select "Time Logs Report by Rotation" from the drop-down.

Once you've applied your filters, click "Apply Filters" to generate the report. You can also export the results by clicking the "Export" button.
