Managing Member Requirement Dates
Member Types:

As a school or clinical coordinator, you can enter completion and expiration dates for member requirements. Use this method to update requirement dates for individual members.

Step 1: Select Member Type

From your homepage, click "Members" and under "Affiliation," select the member type you would like to manage requirement dates for.

NOTE: Selecting by "Affiliation" shows members directly affiliated with your organization. Clinical users must use the "Rotation" column instead.

Step 2: Open Requirements

Locate the member in your list and click the "Requirements" icon in the "Actions" column.

NOTE: The Manage Students (Affiliated) table only displays school-specific requirements for school users. To view clinical site requirements, go to the "Members" tab and select the member type under Rotation.

Step 3: Enter Completion and Expiration Dates

Locate any incomplete requirements and enter the "Completion" and "Expiration" dates.

NOTE: The completion date is when the service was completed.

Step 4: Add Notes and Save

Scroll to the bottom of the page to enter any requirement notes. Then, click the green "Save" button.

Bulk Manage Requirement Dates

Bulk uploading requirement dates allows you to update multiple members at once.

NOTE: Bulk upload is only available for requirements set up under your managing entity.

Step 1: Select Member Type

From your homepage, click "Members" and select the member type in the "Affiliation" column.

Step 2: Select Members

Next, locate the student(s) you need to enter for the requirement dates. Once you find the student(s), check the box next to their name.

Step 3: Export Member List

Once all students are selected, click the "Select" tab. Then, click "Export Selected" from the dropdown.

Step 4: Download CSV

Click the "Download CSV" button.

Step 5: Complete the CSV

Open the downloaded CSV file and fill in the appropriate Completion and Expiration dates in MM/DD/YYYY format.

  • Only update the relevant requirement columns.

  • Do not edit Row 1 or Column A.

  • Save the file in CSV format.

NOTE: Hovering over Row 1 will display the requirement name for each column.

Step 6: Begin Upload Process

Once your CSV file has been updated and saved, go back into ACEMAPP. From your "Manage Students (Affiliated)" table, click the "Create" tab and "Bulk Upload."

Step 7: Start the Upload

Go to Step 2 and click on "Start Upload Process."

Step 8: Upload Your File

  • Select the program for which you're uploading.

  • Click "Browse" and choose your completed CSV file.

  • Click "Submit."

Step 9: Review and Confirm

  • Review the data previewed from your CSV.

  • Fields with errors will be highlighted in red.

    • Ensure Completion Dates are in the past or today.

    • Ensure Expiration Dates are in the future.

  • Once all fields are green, click "Submit."

If needed, click "Start Over" to cancel and re-upload. (This will erase any changes made so far.)

After submission, a confirmation message will appear to verify that your updates were successful.
