Clinical Site User Guide

ACEMAPP is a secure, online, clinical rotation matching, student onboarding, and document storage solution for clinical sites, schools, and consortiums. The Clinical Site User Guide covers everything you need to know to get up and running quickly, including logging into your account, navigating the platform, and managing rotations.

The steps below are very general getting-started steps, so please check with your organization if you have a unique process. Help desk guides are linked for reference, providing step-by-step instructions with screenshots.

ACEMAPP Account Access:

Step 1: Email Verification

After creating your account, we'll send a verification email to the email address linked with your ACEMAPP account. You'll need to verify your email before logging in. If necessary, use the Resend Verification button on the acemapp.org login page.

Step 2: Login

After email verification, expect a message from ACEMAPP containing a link to set your password. If the Password Email isn't found, visit ACEMAPP.org, click "Login", enter your email, and select Forgot Password to set it.

Step 3: Consent and Profile Completion

After logging in, you must agree to the FERPA consent, Honesty Pledge, and Terms and Conditions. As an admin, you only need to fill out the General tab in your Profile before accessing your School User homepage.

Step 4: ACEMAPP Navigation

Easily navigate ACEMAPP by creating shortcuts, setting your home page as default, and using bookmarks and breadcrumbs effectively.

Getting Started with ACEMAPP Collaboration:

Step 1: Manage Partnerships

Use the partnership directory in ACEMAPP to handle partnership requests and documents between schools and clinical sites. Schools must be partnered with you in ACEMAPP before requesting rotations. Once you approve the request, the partnership will appear in the active partners list.

Step 2: Manage Rotations

Reviewing rotation requests is crucial for coordinating clinical rotations. Consider customizing your rotation tables to display relevant information and determine the order of appearance. The Conflict Checker will help you avoid scheduling conflicts by checking fields like Unit, Start/End Date, Days of the Week, and Shift Start/End. Utilize the Comments section to communicate with school partners about rotation details. When the rotation is approved and all members assigned are compliant, the roster will be sent.

Step 3: Monitor Compliance and Upcoming Rotations

The Manage Students (by Rotation) table shows your students' compliance status for their requirements. It lists students assigned to rotations, categorized by their compliance status. Rotation rosters track members (students, faculty, etc.) at each clinical site, providing access to rotation information, compliance records, and profiles. The Rotation Roster is sent to a clinical site partner only after the rotation is approved and all assigned members are compliant.
