What Happens After I Create an Assure Member Account and Assign a Package?

Once you’ve created an Assure Member account and assigned an Assure Package, the member will appear in your Manage Assure Members (Affiliated) table. Their status will be either:

  • Active
  • Pending Member Approval

The member’s status depends on where they are in the registration process:

  • New to ACEMAPP: They will need to verify their email. Once verified, they will receive their login information and be prompted to complete their Assure requirements.

  • Existing ACEMAPP Account: They will receive an email notification that they have been assigned to an Assure Package. They must log in and complete the assigned requirements.

Step 1. Access Assure Members

  • From the top menu, click “Member”.
  • Then select “Assure Member” under the Affiliation section.

Step 2: View the Status of Member and Confirm Package Assignment

  • Cross-check your uploaded spreadsheet with the number of members listed as Active or Pending Member Approval in the Manage Assure Members (Affiliated) table.

  • In the same table, review the Assure Package column to confirm that each member has a package assigned.

  • Members missing a package will appear in red.

  • You can quickly sort the column to find and resolve any missing assignments.

Understanding “Pending Member Approval” Status

If a member is listed as Pending Member Approval, they have not completed all steps to activate their connection to your school. This usually means:

  • The member already has an ACEMAPP account.
  • They still need to approve your school's affiliation request.

Once they approve it, you’ll receive an email notification, and you can then assign their Assure Package.

Step 1: Assigning an Assure Package to an Active Member

  • Find the Active Assure Member needing a package.

  • Select the checkbox next to their name.

Step 2: Assign the Package

  • Click "Select" and then "Assign to Assure Package"

Step 3: Complete the Form

  • Select the Assure Package
  • Choose the Affiliation Program (i.e., the specific academic program or department the member is affiliated with at your school)
  • Enter the Package & Affiliation End Date (i.e., the last date the member should have access to the Assure Package—typically their program end date or graduation date)
  • Click "Save"

Step 4: Confirm Assignment

  • Check the Assure Packages column in the table to verify the assignment.

How to Move Assure Members to Inactive Status AND Remove Package Assignment

Use this process when a member no longer needs access to their Assure Package after graduation, withdrawal, or a leave of absence. This requires two updates: You’ll update their status to Inactive AND remove their package assignment to prevent further access

Step 1. Access Assure Members

  • From the top menu, click “Member”.
  • Then select “Assure Member” under the Affiliation section.

Step 2: Open the Manage Tool

Click the “Manage” button. Then select “Bulk Manage” from the available options.

Step 3 Update Member Status

  • Locate the appropriate member in the list.
  • Toggle their status from “Active” to Inactive. (Graduated, On Hold, or Withdrawn)
  • Click “Save Changes.”

Step 4: Access the Assure Packages

  • Go to the "More" tab

  • Select "Assure Packages"

Step 5:Open the Member List

  • Locate the appropriate member type (e.g., Student, Faculty).
  • Click “Member List” to view all associated individuals.

Step 6: Edit Member Assignment

  • Find the member you want to remove.
  • Click the “Edit” (pencil icon) next to their name.

Step 7: Remove from Package

  • Under Enabled, deselect the assigned package for the member.
  • Update the Package End Date accordingly.
  • Click “Save” to finalize changes.
