Replicate Rotations

The Replicate Rotations tool allows you to re-request rotations previously created in ACEMAPP. When replicating rotations, you will have the opportunity to change the details of the rotation and add new rotations based on your current needs.

Step 1:

From your home screen, click "Rotations".

Step 2:

In the list of rotations, click the checkbox on the left next to each rotation you would like to replicate. You can also use the Search and Filter functions to sort by the clinical site, term, rotation ID number, and more. When you have selected the rotation(s) you would like to replicate, click "Select" and then select "Replicate Selected" from the drop-down menu.

NOTE: Rotations previously approved by the clinical site are likely the rotations that should be replicated. These rotations are typically found in your "Completed" tab.

Step 3:

Rotations are separated by Partnership, Program, and Experience Type. For your convenience, the Previous Rotation ID number and Start/End dates are provided.

You can deselect any rotation you do not want to replicate. This will ensure that rotation/row is not included when you submit the form.

To add another rotation at the same Site and for the Program and Experience Type, click on the " Add New Rotation" button at the bottom of the table. This will add another row for you to complete.

NOTE: Rotations added through this method do not have the Previous Rotation ID once created.

Step 4:

Use the "Populate Dates" button to choose the number of years, months, and days the new rotation start and end dates should be offset by. There is also an option to match the start and end date day of the week.

Click the green "Submit" button to populate the new rotation start and end dates.

Step 5:

As you complete each required field, the red highlighting will change to white. Once all required fields are completed, the Previous ID panel will turn green to indicate that the rotation is ready to submit. Click "Submit" at the bottom of the page to submit your rotations.

NOTE: Rotations that could not be submitted will have a "Warning" button on the left side of the screen. Click on this button to learn more about the specific issue.


FAQ

Which rotations can be requested for replication?

  • Typically, if the school partner requested a rotation previously approved by the clinical site, you can replicate the rotation. Please contact the clinical site for any processes specific to their organization.

NOTE: Student or Observer-requested rotations cannot be replicated.

Why would I add a NEW rotation when replicating existing rotations?

  • If you have new rotation requests to submit in addition to the rotations you replicated, you would follow the process of submitting a new request instead of replicating a previous rotation.

Where do my rotations go after I have replicated them?

  • New rotations will be in your Bulk or Pending tab depending on your Rotation Status Configuration and what you selected when replicating the rotation(s). You may review these rotations and make any changes while in Bulk or Pending status.

NOTE: *New Bulk Rotations are NOT visible to clinical sites until they are moved into a "Pending" status.

NOTE: If you are part of a consortium, your rotations will move to Pending according to your Bulk Submission Schedule.
