The Replicate Rotations tool in ACEMAPP helps you quickly recreate previously approved rotations, streamlining the process of managing clinical placements. You can adjust any details as needed and create new rotations based on your current requirements.

Step 1: Access Rotations

From your home screen, click "Rotations".

Step 2: Select and Replicate Rotations

  • In the list of rotations, check the checkbox next to each rotation you want to replicate.

  • Use the Search and Filter options to narrow down the list by clinical site, term, rotation ID number, or other criteria.

  • Once you've selected the rotations you want to replicate, click "Select" and then choose "Replicate Selected" from the drop-down menu.

NOTE: Rotations previously approved by the clinical site are likely the ones you should replicate. These rotations are typically found in your "Completed" tab.

Step 3: Manage Rotations

  • Rotation Details: Rotations are organized by Partnership, Program, and Experience Type. For your convenience, you'll see the Previous Rotation ID number and Start/End dates listed.

  • Deselecting Rotations: If there are any rotations you do not want to replicate, simply deselect them. This will remove the rotation from the list when you submit the form.

  • Adding a New Rotation: To add a new rotation at the same Site, Program, and Experience Type, click the "Add New Rotation" button at the bottom of the table. This will create a new row for you to fill out.

NOTE: When you add a new rotation using this method, a new rotation ID will be assigned. The original rotation ID will be displayed on the new rotation's manage page under the "Previous" rotation ID. For more details, please refer to the FAQ section.

Step 4: Adjust Rotation Dates

  • Use the "Populate Dates" button to specify how much you want to offset the start and end dates of the new rotation by, in terms of years, months, and days.

  • You can also choose to match the start and end dates to the same day of the week as the original rotation.

Step 5: Submit the New Rotation Dates

  • Once you've adjusted the dates, click the green "Submit" button to apply and populate the new rotation's start and end dates.

Step 6: Complete and Submit Rotations

  • As you fill in each required field, the red highlighting will change to white, indicating that the field is complete.

  • Once all required fields are filled in, the Previous ID panel will turn green, signaling that the rotation is ready to be submitted.

  • When you're ready, click the "Submit" button at the bottom of the page to submit your rotations.

NOTE: If a rotation cannot be submitted, a "Warning" button will appear on the left side of the screen. Click the button to view more details about the specific issue preventing submission.

FAQ

Q: Which rotations can be requested for replication?
A: Generally, you can request replication of rotations that were previously approved by the clinical site and requested by the school partner. For any specific processes or requirements, please contact the clinical site directly.

NOTE: Student or Observer-requested rotations cannot be replicated.

Q: Why would I add a NEW rotation when replicating existing rotations?
A: If you need to submit new rotation requests that are different from the replicated rotations, you would add a new rotation rather than replicating an existing one. This allows you to submit additional rotation requests that are not based on the previous ones.
Q: Where do my rotations go after I have replicated them?
A: After replication, your new rotations will appear in either your Bulk or Pending tab, depending on your Rotation Status Configuration and the selections you made when replicating the rotations. You can review and make any necessary changes while the rotations are in Bulk or Pending status.
Replicated rotations will display a "Previous" rotation ID on the rotation management page. This "Previous" ID refers to the original rotation that was replicated.
If the rotation you are viewing shows a "Child" rotation ID, it means that the rotation was created as part of a set when the original rotation was replicated.

NOTE: New Bulk Rotations will NOT be visible to clinical sites until they are moved into "Pending" status. If you are part of a consortium, your rotations will automatically move to "Pending" according to your Bulk Submission Schedule.
