Create Multiple Rotations with Spreadsheet
Member Types:

ACEMAPP allows School Coordinators to create and upload rotations from a CSV file. Additional rotations can be added after the CSV file has been uploaded.

NOTE: When Bulk uploading rotations, they should have the same Partner, Experience Type, and Program.


Step 1:

From your home screen, select "Rotations" to go to your rotation table.

Step 2:

At the top of the rotation table, select "Create", then click on "Create Multiple" in the drop-down menu.

NOTE: If you are included in a consortium, please check the Bulk submission schedule.

Step 3:

Select the Partner, Experience Type, and Program for your rotations. Then, click the blue "Generate Template" button under CSV Template.

The button will turn into a green " Download Template" button. Click the button to download the template.

NOTE: We recommend downloading a new CSV template to enter your data before uploading. This will ensure that all columns are current in the system. If you use an outdated template, you may encounter an error when uploading the spreadsheet.

Step 4:

Enter the data into the spreadsheet. Please be aware of the following points:

  • When entering the data into the spreadsheet, DO NOT delete or change the order of the columns. This will cause an error when attempting to re-upload the spreadsheet into the system.
  • When entering Shift Start and Shift End times, use the 24-hour format, aka "Military Time".
  • When finished, save the file to your device as a .CSV file, or the system will not accept the file and produce an error.

Step 5:

To upload the spreadsheet, repeat steps 1 - 3 to get back to this screen and enter the same Partner, Experience Type, and Program you did previously when generating the CSV file for your rotations.

Click the "Browse..." button to upload the CSV file. Click the "Submit (CSV)" button to finish the upload process.

Step 6:

Ensure all required fields are complete on the Bulk Rotation Edit screen.

Rotations and fields that are incomplete will be highlighted in red. Use the slider bar at the bottom of the table to look through the rotations in the list and update the highlighted areas.

Once all rotations have been updated, the highlighted Row column will change from red to blue. Click the green "Submit" button at the bottom of the page to submit the rotations.

NOTE: The "Submit" button at the bottom of the page will also be disabled if there are any errors.

Optional: If needed, add additional rotations by clicking on the "Add Row" button.

NOTES:

  • Rotations can be entered using the Pending or Bulk Statuses. Rotations uploaded using the Bulk Upload method are placed into a Bulk status and are not visible to the clinical partners. Based on your region's agreed rotation submission schedule, these rotations will be automatically moved to active. If your area does not have a set rotation submission schedule, please contact ACEMAPP Customer Support to have your rotations released into a Pending status.
  • Rotation information will take time to populate into the Rotation Table and may take up to 24 hours. To view the details of the rotation(s), use the "Edit" (pencil) icon to access the Rotation Request Form.
