Time Log Management (Faculty)

When students submit Time Logs, you can review, approve, request revisions, or deny them. You can also pull reports and filter logs based on specific criteria such as course, entity, or skill.


Reviewing Time Logs That Require Attention

Step 1: Access Time Logs from Notifications or Navigation

From your Home Page, in the Notifications table, click the orange button labeled:
"You have one-time log(s) to review"

Alternative Navigation:
Click the "Time Logs" button in your navigation bar.
If not visible, go to More > Time Logs.

Step 2: View the Logs Table

On the Manage Time Logs page, you'll see a Time Logs Table filtered by two views:

  • Requires Attention

  • Historical

NOTE: You may see multiple Time Log Types if you're connected to different institutions or clinical sites. Click the Time Log Type link to open its corresponding table.

Step 3: Open the "Requires Attention" Tab

Click the "Requires Attention" tab to view logs awaiting review.

Step 4: Edit the Time Log

Find the log you wish to review and click the Edit (pencil) icon under the Actions column

Step 5: Review Log Details and Set Status

On the Time Log Detail page:

  • Review the time entry information

  • Select a status:

    • Approved
    • Denied
    • Needs Info
  • Add any Faculty Notes as needed

  • Review and accept any listed Skills

NOTE: If you select Needs Info, leave a note so the student knows what to revise.

Step 6: Review and Edit Skills (if applicable)

If the student logged Skills, click "Skills" in the left-side Navigation menu.

From here, you can:

  • Approve listed skills

  • Add new skills

  • Edit skill levels

  • Remove skills as needed

Once finished, return to the main Time Log Detail screen and:

  • Click "Save" to submit your review and exit.

  • Or click "Save & Next" to move directly to the next log needing review.

Running a Time Log Report

Step 1: Open Time Logs

From your Home Page, click the "Time Logs" button in the navigation bar.
If not visible, go to More > Time Logs.

Step 2: Open the Reports Menu

In the Time Logs Table, click the "Reports" button, then choose "Time Logs Report" from the dropdown.

NOTE: If you're connected to multiple institutions or clinical sites, click the appropriate Time Log Type to access its report.

Step 3: Apply Filters and Generate Report

Use the available filters to customize your report:

  • Date Start
  • Date End
  • Course
  • Entity
  • Member
  • Skills
  • Rotations
  • Focus Areas
  • Preceptor

Click "Apply Filters" to generate the report.

You can also click the "Export" button to download the results.

Viewing Historical Logs

View Past Time Logs
Click the "Historical" tab in the Time Logs Table to view previously submitted or approved logs.

View Log Details

To view a specific historical log, click the "View" (eye icon) under the Actions column.

An Entity is a School, Clinical Site, High School, Company, etc.

A rotation is a scheduled clinical experience.
