Managing Employee Designation
Member Types:

Designating a member as an employee in ACEMAPP enables your organization to directly manage their requirements and assessments. It also allows them to be assigned to rotations without needing to meet certain student-specific requirements.

This is a three-part process:

  1. Affiliating the Member – Ensure the member is directly affiliated with your organization.
  2. Designating the Member as an Employee – Update their profile to reflect employee status within your programs.
  3. Managing Requirements & Assessments – Access and manage employee-specific requirements, assessments, and SCORM course records.

Follow the steps below to complete each part of the process.


Part 1: Affiliate the Member with Your Organization

Before a member can be designated as an employee in ACEMAPP, they must be affiliated with your organization. There are two ways to establish this affiliation:

Option 1: Manually Add and Affiliate the Member

  1. Navigate to “Members” on your homepage and select the appropriate member type under Affiliation.

  2. The “Add One Student” option is used to affiliate the member’s account.

  3. When adding a member, use the email address associated with their existing ACEMAPP account to avoid creating a duplicate profile.

  4. If the member already has an account, the system will prompt you to send an affiliation request, which the member must log in to approve.

  5. Once approved, the member will appear in your Members list under the “Active” tab.

Option 2: Approve a Member’s Request for Affiliation
If your organization allows members to request an affiliation, please follow these directions:
  1. A notification will appear on your dashboard.

  2. Click the notification to open the Member Affiliation Manager.

  3. Under Pending Entity Approval, click the "Edit" (pencil) icon to review and approve the request.


Part 2: Designating Member as Employee

Step 1: Access the Member List

Select "Members" from your home screen and select the appropriate member type under "Affiliation."

Step 2: Edit the Member's Information

Search for the member you want to designate, then click the "Edit" (pencil) icon next to their name.

Step 3: Open the Affiliated Programs Tab

Open the "Affiliated Programs / Access End Date" tab in the "Navigation" menu.

Step 4: Designate the Member as an Employee

In the Current Affiliated Programs section, toggle Employee to "Yes" for each applicable program where the member is employed.

Click "Save" at the bottom of the page to confirm your changes.

Part 3: Managing Requirements & Assessments for Designated Employee

Once a member is designated as an employee, you can manage their requirements and assessments via the Employee Management feature.

Step 1: Locate the Member

Select "Members" from your home screen and select the appropriate member type under "Affiliation."

NOTE: Employees are only connected by direct affiliation.

Step 2: Open the Manage Member Panel

Find the member, then click the "Manage" (gear) icon under Actions.

Step 3: Access Employee Requirements & Assessments

Click on "Employee Requirements & Assessments."

Step 4: Review and Update Requirements

On the Employee Requirements & Assessments page, you can:

  • Set or update completion and expiration dates
  • View uploaded documentation
  • Waive requirements (if waivers are enabled for that requirement)
  • Enter or override dates for assessments and SCORM courses

Use the "Set All" and "Override All" buttons for quicker bulk updates.

Step 5: Save Your Changes

Click "Submit" to save your changes.

Some ACEMAPP Clinical Sites allow you to connect directly as an employee. Applying to affiliate directly with the Clinical Site allows them to manage your ACEMAPP account and manage any Requirements or Learning Materials you may have already completed outside of ACEMAPP.
