Rotation Management Streamlined in ACEMAPP - For School Users

Overview

ACEMAPP provides an efficient and structured process for schools to establish and manage clinical partnerships and student rotations. This system ensures clear communication, compliance tracking, and streamlined onboarding for students, allowing administrators to focus on student success.

Establishing a Partnership

Step 1: School Requests Partnership

If a partnership with a clinical site does not exist, the school submits a partnership request through ACEMAPP.
➡ Benefit: Schools can easily identify potential clinical sites and initiate partnerships through a centralized system.

Clinical Site Reviews Partnership Request and Notifies School
ACEMAPP notifies the clinical site of the partnership request. The clinical site then reviews and either approves or denies the request. ACEMAPP subsequently informs the school of the clinical site's decision.
➡ Benefit: Facilitates timely communication, enabling schools to plan rotations effectively and reducing administrative back-and-forth.

Creating Student Accounts & Affiliations

Step 2: School Creates Student Accounts in ACEMAPP

The school adds students to ACEMAPP to establish their connection with the program.
Benefit: ensures a seamless transition for clinical rotations by providing students with a simple, centralized platform for all onboarding requirements.

ACEMAPP Sends Verification & Login Information
New users verify their email, set a password, and complete their profile and school requirements. Existing users receive an affiliation request to connect with the new school or program.
➡ Benefit: Simplifies onboarding by guiding students through a clear, step-by-step account setup and affiliation process.

Requesting Rotations and Approvals

Step 3: School Creates Rotation Request

Schools typically replicate previous rotations and submit bulk requests based on the SMC CLINICAL PLACEMENT PROCESS SCHEDULE. They also submit new requests to pending according to the dates outlined in the schedule.
➡ Benefit: Streamlines rotation scheduling, ensures all required steps are followed, and provides communication per request.

ACEMAPP Notifies Assigned Members to Complete Clinical Requirements

Managing Requirement Documents

Step 5: School Approves Documents and Monitors Compliance

Schools review and approve student requirement documents and track compliance.

Students Receive Weekly Reminders, and Roster is Sent to Clinical Sites
Students receive prompts for past-due requirements. Once compliant, ACEMAPP sends the roster to notify the site and school.
➡ Benefit: Reminders keep students on track, ensuring timely requirement completion for smooth clinical placement.

Ensuring Compliance Before Clinical Rotations

Schools must monitor and ensure all assigned members are meeting compliance. Students should demonstrate compliance 2-4 weeks before the rotation starts.
Once the roster is marked as "sent" in your rotation table, assigned members are authorized to be on-site.
