Preceptor Time Log Review

The Time Log feature allows students to enter and track their time with a Clinical Site and its preceptor.

To Approve/Deny a Time Log

Step 1

From your Home Page, in the Preceptor Notifications table, click the orange "You have 4 time log(s) to review" button.

NOTE: If you do not see the Time Logs tab in your navigation bar, click the "More" tab and select "Time Logs" from the drop-down.

Step 2

The Manage Time Logs screen shows if the entity you are connected to has multiple types of Time Logs.

  • NOTE: If your entity is not using multiple Time Log types, your screen opens directly to the Time Logs Table. In which case, skip to "Step 3".

On the Manage Time Logs page, find the Time Log Type (you may have more than one Time Log Type depending on the Institution or if you are connected to multiple locations) and click the "Time Log Type" link.

Step 3

This table is filtered by Requires Attention and Historical.

Log Requires Attention

Step 1

If the Time Log requires approval, click the "Requires Attention" button.

Step 2

On the Manage Time Logs page, click the "Edit" (pencil icon) button in the Actions column.

Step 3

On the Time Log detail screen, review the log as needed. Select "Approval," "Denied," or "Needs Info" and enter any notes in the "Preceptor Notes" section.

You may also edit the times already entered, if need be, before Approval/Saving.

NOTE: When selecting Needs Info status, it is advised to include a note so the author can adjust the log before re-saving.

TIP: If the Time Log matches a Student Case Log, that information will be at the page's bottom.

NOTE: If Skills Check is turned on, a message shows at the bottom of the screen reminding you to check the Skills (In the Navigation panel) before approving the Time Log.

Step 4

Once you have selected the approval action and entered any notes, click on one of the following:

  • "Save": Save the log and exit.
  • "Save & Next": Save the log and move to the next log requiring attention.
  • "Skip" ": Skip to the next log requiring attention.

Historical Logs

Step 1:

If you want further details of the Logs already submitted/approved while on the Time Log table, click "Historical" to change your view.

Step 2:

To view the time log, click on the "View" (eye icon) button listed under the Actions column while on the Time Log table.

Time Log Reports

The following instructions provide you with information on completing a Time log report.

Step 1

Click on the "Time Logs" tab.

NOTE: If you do not see the Time Logs tab in your navigation bar, click the "More" tab and select "Time Logs" from the drop-down.

Step 2

To generate a Time Log Report, click the "Reports" button and select "Time Logs Report" from the drop-down.

Step 3

In the results, you will see details and a report of the Time Logs that you are connected with.

NOTE: *Use the optional filters to narrow your results.

Click the green "Apply Filters" button when you are ready to generate your report. You can also export your results by clicking the "Export" button.

Step 4

To generate a Time Log Report for time logs you are connected with based on your rotations, select the "Reports" button and click "Time Logs Report by Rotation" from the drop-down.

NOTE: Use the optional filters to narrow your results.

Click the green "Apply Filters" button when you are ready to generate your report. You can also export your results by clicking the "Export" button.

An Entity is a School, Clinical Site, High School, Company, etc.

A rotation is a scheduled clinical experience.
