Managing Pending Member & Entity Approvals

This guide helps admins understand the Pending Member Approval process and provides step-by-step instructions for managing Pending Entity Approval requests in ACEMAPP. While admins cannot directly manage Pending Member Approval, this guide explains how to assist students in completing the process. It also covers how to review, approve, or deny affiliation requests from students, ensuring effective management of member access to your organization or clinical site.
Overview of Student Home Page
Member Types:
The Student Home Page is where you’ll complete key tasks in ACEMAPP. Here, you can work on your Requirements, fill out Custom Fields, and review assigned Learning Materials. You can also check for Announcements, view your Affiliations, and see your Rotation Details.
Create or Affiliate Member Accounts
Member Types:
School coordinators must create, or affiliate member accounts in order to manage them in ACEMPP. To do this, you must follow the process to create an account for each member. A "member" refers to non-admin users, such as students, faculty, preceptors, and observers. This guide will show you how to create a student account, but the steps are the same for creating accounts for any member.
Overview of Member Affiliated Table

The overview of your member's affiliated table is meant to help you get familiar with the layout and show you what you can do from the affiliations table. Please see the other help desk guides link for more detail on various functions.
Manage Assure Members
Member Types:
This guide walks you through what happens after creating an Assure member account and assigning a package. Learn how to verify member status, confirm package assignments, understand “Pending Member Approval,” and manage member status changes, including moving members to inactive and removing package assignments.
Check Compliance with your Affiliations
Member Types:
The Affiliations section on your Home page will show compliance for the school and rotations you are affiliated with in ACEMAPP.
Member Requirement Report
Member Types:
The Requirement Compliance Report provides a snapshot of the current status of each member’s requirements.
Note: To view a historical record of a member’s requirements over time, please refer to the Profile Completion Report instead.
Incomplete Member Report
Member Types:
The Incomplete Member report provides a list of any members (i.e., Students, Faculty, etc.) that have not completed all requirements for a specific program. 
Assign Member(s) to Rotation
Member Types:
When you assign a member to a rotation, they receive notification of the rotation details and are prompted to check their account for clinical requirements. Students or Faculty can access clinical site requirements only after being assigned to the rotation.
Create An Assure Member Account and Assign Assure Package
Member Types:
ACEMAPP Assure offers professional document review services to its members. This help desk guide provides instructions for Assure School Users on how to create Assure member accounts and assign Assure packages.
Add an Existing Member to a New Program
Member Types:
To add an existing member to a new program, follow the same process as creating a member account. If the member already has an ACEMAPP account, you will need to send an affiliation request after confirming the new program details and the Access End Date.
Directory: Manage Entities
Member Types:
The Directory system allows school and clinical site coordinators to create and manage partner entities that do not use ACEMAPP. This guide will walk you through adding and closing Directory Entities.
Search and Request Partnerships
Member Types:
The partnership directory is where schools and clinical sites manage their partnerships in ACEMAPP. Use the partnership directory to request new partnerships and manage partnership documents. Schools must have an active partnership with the clinical site to request a rotation.
Check Assure Member Requirement Compliance

ACEMAPP Assure collects, stores, and reviews requirements, including background check/drug screening results, immunizations, and other requested documents. While the Assure team works behind the scenes, school users have full visibility of Assure member documents, review status, and overall compliance. Evaluation Member List

Use the evaluation member list to view member evaluations and their status. Evaluations can be reset and deleted from the member list.

Managing Member Requirement Documents
Member Types:
ACEMAPP allows members to upload, share, and store documents. As a school or clinical coordinator, if a document is required by your school or clinical site, it will need to be approved. To manage requirement documents uploaded by your members, please follow the steps below.
View Assure Member Documents
Member Types:
ACEMAPP Assure collects, stores, and reviews requirements, including background check/drug screening results, immunizations, and other requested documents. While the Assure team works behind the scenes, school users have full visibility of Assure member documents, review status, and overall compliance.

When you add ACEMAPP Assure to your organization's subscription, you'll create a one-stop shop for your students and/or faculty to manage academic and clinical requirements. Follow this guide to view Assure Member documents.
Rotation Member Compliance Report

The Rotation Member Compliance report shows all non-compliant members by rotation, along with a list of their incomplete requirements.

Complete Evaluations

Your school and/or clinical site may assign you an evaluation to complete in ACEMAPP. When an evaluation is assigned, you will receive a notification directly on your ACEMAPP home page. Please be sure to log in regularly and complete any assigned evaluations by the due date.
