This guide serves as both an introduction to the value of ACEMAPP and a step-by-step manual to help you get started, streamline your workflow, save time, and minimize administrative tasks.

Getting Started:

Step 1: Verify Your Email and Log In

To start, you’ll need to verify your email address before logging into ACEMAPP. If necessary, use the Resend Verification button on the acemapp.org login page.

Once verified, you'll receive a link to set your password. If you don’t see this email, use the Forgot Password option on the login page. Once logged in, you’ll agree to the FERPA consent, Honesty Pledge, and Terms & Conditions, ensuring you’re all set for a secure experience.

Step 2: Complete Your Profile

You'll need to complete your profile before you can access your Clinical User homepage. This includes filling out the General tab, setting up Security Questions, and enabling Google 2-Factor Authentication for added security. Completing these steps ensures you have access to all the features of ACEMAPP and helps you navigate the platform more efficiently.

Make the platform work for you by creating shortcuts, setting your home page as default, and using bookmarks and breadcrumbs to access important sections quickly. These minor adjustments can significantly improve your workflow and save time when managing clinical experiences.

ACEMAPP’s partnership directory makes it easy to manage partnership requests and important documents between your clinical site and schools. Schools need to partner with you in ACEMAPP before they can request rotations. Once you approve the partnership request, it will appear in your Active Partners list, giving you clear visibility into your current relationships with schools. This centralized view saves you time and helps you stay organized.

When reviewing rotation requests, ACEMAPP provides you with all the information you need to coordinate clinical rotations efficiently. You can customize your rotation tables to show the most relevant details, such as units, dates, and shifts. The Conflict Checker helps you avoid issues by checking key fields like unit, start/end dates, and shift schedules. Additionally, the Comments section allows you to communicate directly with schools, ensuring that all rotation details are clear and accurate. Once the rotation is approved and all assigned members are compliant, the Roster is automatically sent to your site, saving you from manually tracking down information.

With ACEMAPP, you can easily track and manage student and faculty compliance. The Manage Students (by Rotation) table categorizes students by their compliance status, allowing you to identify who still needs to meet requirements quickly. You can also track rotation details, compliance records, and member profiles in the Roster (Profile Completion Report), which is sent only after all members are compliant. This helps ensure that you are always prepared for upcoming rotations.

Roster (Profile Completion Report) Sent
Rosters track members (students, faculty, etc.) that will be at each clinical site. The rotation roster gives the clinical site access to view the rotation information, member compliance records, and member profile data. The Rotation Roster Set email includes a link to download the Profile Completion Report.

Rotation Comments
Commenting on rotations is a great way to communicate with your school or clinical site partners regarding a specific rotation. Every comment made on a rotation will prompt an automated email notification to fellow coordinators within the same program.
Rotation Conflict Checker
You can utilize the Conflict Checker to confirm there are no scheduling conflicts with other rotations. It scans for conflicts based on Unit, Start/End Date, Days of the Week, and Shift Start/End fields.

Completing Your Profile

Log in to ACEMAPP

Email Verification
You will not be able to access your account without verifying your email. We will send a verification email to each email address on your account. Please check your email inbox, including spam folders, and click the link provided within the email to complete the verification process. Verification emails are valid for seven days, after which they will expire.
