ACEMAPP provides an efficient and structured process for schools to establish and manage clinical partnerships and student rotations. This system ensures clear communication, compliance tracking, and streamlined onboarding for students, allowing administrators to focus on student success.

Establishing a Partnership

Step 1: School Requests Partnership

If a partnership with a clinical site does not exist, the school submits a partnership request through ACEMAPP.

Clinical Site Reviews Partnership Request and Notifies School
ACEMAPP notifies the clinical site of the partnership request. The clinical site then reviews and either approves or denies the request. ACEMAPP subsequently informs the school of the clinical site's decision.

Creating Student Accounts & Affiliations

Step 2: School Creates Student Accounts in ACEMAPP

The school adds students to ACEMAPP to establish their connection with the program.

ACEMAPP Sends Verification & Login Information
New users verify their email, set a password, and complete their profile and school requirements. Existing users receive an affiliation request to connect with the new school or program.

Requesting Rotations and Approvals

Step 3: School Creates Rotation Request

Schools typically replicate previous rotations and submit bulk requests based on the SMC CLINICAL PLACEMENT PROCESS SCHEDULE. They also submit new requests to pending according to the dates outlined in the schedule.

Students Receive Weekly Reminders, and Roster is Sent to Clinical Sites
Students receive prompts for past-due requirements. Once compliant, ACEMAPP sends the roster to notify the site and school.

Ensuring Compliance Before Clinical Rotations

Schools must monitor and ensure all assigned members are meeting compliance. Students should demonstrate compliance 2-4 weeks before the rotation starts.
Once the roster is marked as "sent" in your rotation table, assigned members are authorized to be on-site.

Search and Request Partnerships
The partnership directory is where schools and clinical sites manage their partnerships in ACEMAPP. Use the partnership directory to request new partnerships and manage partnership documents. Schools must have an active partnership with the clinical site to request a rotation.
Create or Affiliate Member Accounts
School coordinators must create, or affiliate member accounts in order to manage them in ACEMPP. To do this, you must follow the process to create an account for each member. A "member" refers to non-admin users, such as students, faculty, preceptors, and observers. Assign Member(s) to Rotation
When you assign a member to a rotation, they receive notification of the rotation details and are prompted to check their account for clinical requirements. Students or Faculty can access clinical site requirements only after being assigned to the rotation.

ACEMAPP allows members to upload, share, and store documents. As a school or clinical coordinator, if a document is required by your school or clinical site, it will need to be approved. To manage requirement documents uploaded by your members, please follow the steps below.
