ACEMAPP provides a secure online platform for schools to manage student clinical experiences. Our School User guide covers everything you need to know to get up and running quickly, including logging into your account, navigating the platform, and accessing essential resources to help manage learners.

Below are general getting started steps for school users, but please consult with your school for specific processes. Help desk guides are linked for reference, providing step-by-step instructions with screenshots.


ACEMAPP Account Access:

Step 1: Email Verification and Login

After creating your account, we'll send a verification email to the email address linked with your ACEMAPP account. You'll need to verify your email before logging in. If necessary, use the Resend Verification button on the acemapp.org login page.

After email verification, expect a message from ACEMAPP containing a link to set your password. If the Password Email isn't found, visit ACEMAPP.org, click "Login", enter your email, and select Forgot Password to set it.

Step 2: Consent and Profile Completion

After logging in, you must agree to the FERPA consent, Honesty Pledge, and Terms and Conditions. As an admin, you only need to fill out the General tab in your Profile before accessing your School User homepage.

Step 3: ACEMAPP Navigation

Easily navigate ACEMAPP by creating shortcuts, setting your home page as default, and using bookmarks and breadcrumbs effectively.


Getting Started with ACEMAPP Collaboration:

Step 1: Request Partnerships

Before creating a rotation request, you must partner with the clinical site for your program. Once you've made the request, the clinical site will review it. The partnership will be listed under active partners in the partnership directory when approved.

Step 2: Create Member Accounts

To assign students and faculty to rotations and manage their compliance in ACEMAPP, create their accounts first. Once you create their account, they are prompted to verify their email, log in, and complete their profile and requirements.

Step 3: Create Rotations

You must create a rotation in ACEMAPP for your clinical partner to review your rotation request. The rotation request should include details like the requested unit, start and end dates, and the number of student slots.

Step 4: Assign Members to Rotations

Students can access clinical site requirements only after being assigned to the rotation. When you assign a student to a rotation, they receive notification of the rotation details and are prompted to check their account for clinical requirements.

Step 5: Review Member Requirements

Many clinical sites expect you to review and approve your students' and faculty's documents in ACEMAPP. You can confirm this responsibility in the comment section of the rotation request if necessary. When students upload documents, the requirement stays incomplete until it's approved.

Step 6: Monitor Member Compliance

Compliance impacts when the rotation roster is sent to clinical sites. The roster shows rotation details, member compliance records, and profiles.

Managing Member Tiered Requirements
Tiered requirements are divided into separate groups for completion and are used to manage requirements belonging to a series. Please review the description in the tiered requirement to ensure member documents or completion dates are uploaded/entered into the appropriate group to meet compliance. The student must select only one group to upload/enter completion dates according to how they meet compliance.

As a school or clinical coordinator, you can enter individual completion and expiration dates for requirements. Bulk uploading requirement dates allows you to enter dates for multiple students at the same time.

The partnership directory "Contacts" page displays contact information for coordinators with other organizations.

Access your dashboard for easy navigation between your member home pages. Set a default home page to be directed to that page upon login.

Search and Request Partnerships

Email Verification
You will not be able to access your account without verifying your email. We will send a verification email to each email address on your account. Please check your email inbox, including spam folders, and click the link provided within the email to complete the verification process. Verification emails are valid for seven days, after which they will expire.

Roster (Profile Completion Report) Sent
Rosters track members (students, faculty, etc.) that will be at each clinical site. The rotation roster gives the clinical site access to view the rotation information, member compliance records, and member profile data. The Rotation Roster Set email includes a link to download the Profile Completion Report.
