As a School User, ACEMAPP provides you with a secure, centralized platform to manage student clinical experiences. This guide will help you streamline workflows, save time, and ensure smooth communication between your school and clinical sites. By following the steps below, you’ll have the tools to manage student rotations, monitor compliance, and keep everything organized—all in one place.

  1. ACEMAPP will create the primary admin account for your site. For security purposes, an existing admin must create additional admin accounts as access is required.

  2. Verify your email and set your password. If needed, use the Resend Verification or Forgot Password links on the login page.

What Your School Manages in ACEMAPP

To ensure rotations run smoothly, your school is responsible for managing partnerships, member accounts, rotations, and compliance in ACEMAPP. These tasks may be handled by one administrator or shared across a team, but each step below is required if the clinical site requires you to submit rotations in ACEMAPP.

Step 1: Request Partnership with Clinical Site

(Required to submit rotation requests for your students)

Before creating rotation requests, you must first request a partnership with the clinical site. Once the site reviews and approves your request, the partnership will appear in your Active Partnership Directory. This active partnership allows you to manage rotations and track agreements with the clinical site.

Step 2: Create or Affiliate Member(s) Account

(Required to access and manage students and faculty)

To assign students and faculty to rotations, you must first create their accounts in ACEMAPP. Once their accounts are set up, they’ll be prompted to verify their email and complete their profiles. Managing accounts is easy with bulk upload options and automated email reminders, ensuring your members stay up to date with their requirements.

Step 3: Create Rotations

(Required if the clinical site requires rotation submissions in ACEMAPP)

Creating rotations is essential for managing clinical placements. You’ll need to submit a rotation request with details such as unit, start/end dates, and student slots. This step is crucial for obtaining clinical site approval and ensuring your students are appropriately placed.

Step 4: Assign Members to Rotations

(Required for students & faculty to view and complete clinical requirements)

After creating rotations, be sure to assign students enough time to meet compliance requirements before the rotation begins. Students won’t see clinical site requirements in ACEMAPP until they’re assigned to a rotation. Early assignment allows time for notifications, account review, and completion of any required documents—helping ensure students are fully prepared by the start date.

Step 5: Review Member Requirements

(Required to approve compliance for rotation compliance)

Most clinical sites expect schools to review and approve student and faculty documents in ACEMAPP. Unless requirements are handled through a third-party vendor or ACEMAPP Assure, your school will manage document approvals to make sure all requirements are met before the rotation begins and stay on schedule.

Step 6: Monitor Member Compliance

(Required for students & facultly to begin rotations)

Compliance tracking is key to ensuring smooth rotation processes. You can easily monitor student and faculty compliance, making sure all necessary documentation is complete before the rotation starts. This proactive approach ensures you meet clinical site deadlines and maintain an accurate roster.

Display custom messages on the member Home Page to share updates or essential reminders.

Access a high-level summary of your organization, including active admins, student placements, permissions, and billing contact information.

Please follow these steps to create a rotation request with one of your partnered entities in ACEMAPP.
Managing Member Requirement Dates
As a school or clinical coordinator, you can enter individual completion and expiration dates for member requirements. Bulk uploading requirement dates allows you to enter dates for multiple members at the same time.
Roster (Profile Completion Report) Sent
Rosters track members (students, faculty, etc.) that will be at each clinical site. The rotation roster gives the clinical site access to view the rotation information, member compliance records, and member profile data. The Rotation Roster Set email includes a link to download the Profile Completion Report.

Managing Member Tiered Requirements
Tiered requirements are divided into separate groups for completion and are used to manage requirements belonging to a series. Please review the description in the tiered requirement to ensure member documents or completion dates are uploaded/entered into the appropriate group to meet compliance. The student must select only one group to upload/enter completion dates according to how they meet compliance.

ACEMAPP allows members to upload, share, and store documents. As a school or clinical coordinator, if a document is required by your school or clinical site, it will need to be approved. To manage requirement documents uploaded by your members, please follow the steps below.
Create or Affiliate Member Accounts
School coordinators must create, or affiliate member accounts in order to manage them in ACEMPP. To do this, you must follow the process to create an account for each member. A "member" refers to non-admin users, such as students, faculty, preceptors, and observers. This guide will show you how to create a student account, but the steps are the same for creating accounts for any member.
Log in to ACEMAPP

Search and Request Partnerships
The partnership directory is where schools and clinical sites manage their partnerships in ACEMAPP. Use the partnership directory to request new partnerships and manage partnership documents. Schools must have an active partnership with the clinical site to request a rotation.
Assign Member(s) to Rotation
When you assign a member to a rotation, they receive notification of the rotation details and are prompted to check their account for clinical requirements. Students or Faculty can access clinical site requirements only after being assigned to the rotation.

Email Verification
To access your ACEMAPP account, you must verify your email address. A verification email will be sent to each email address associated with your account. Be sure to check both your inbox and spam/junk folders for the email. Click the link provided in the email to complete the verification process. Please note, the verification link is valid for seven days and will expire after that period.
