This guide is for Assure Admins—school users whose organization uses ACEMAPP Assure for document management and compliance tracking. It offers step-by-step instructions to help you get started quickly and confidently with Assure.

Getting Started with ACEMAPP Assure:

Step 1: Create Assure Members and Assign Requirement Package

There are multiple ways to create Assure members and assign them to a requirement package. To determine the best method for your organization, refer to the help desk guide below:

An Assure package is a predefined set of requirements tied to an Assure member. The school configures this requirement package during the initial setup process, including required documents and approval criteria. Once members begin uploading documents, the ACEMAPP Assure team will review and manage these submissions for compliance.

Step 2: Monitor Assure Member Compliance

As members submit documentation to fulfill their Assure requirements, the ACEMAPP Assure team reviews and updates their compliance status. School users can track this progress and access uploaded documents through their dashboard.

Step 3: Generate Assure Reports

Use ACEMAPP’s reporting tools to monitor compliance and activity for Assure members. When generating reports, be sure to:

  • Select the "Rotation" reporting type

  • Choose "Assure Member" as the member type

  • Or filter by "Assure Package" for experience-based reporting

  • Assure Reporting

Before creating rotation requests, you must first request a partnership with the clinical site. Once the site reviews and approves your request, the partnership will appear in your Active Partnership Directory. This active partnership allows you to manage rotations and track agreements with the clinical site.

To assign students and faculty to rotations, you must first create their accounts in ACEMAPP. Once their accounts are set up, they’ll be prompted to verify their email and complete their profiles. Managing accounts is made easy with bulk upload options and automated email reminders, ensuring your members are up-to-date with their requirements.

Creating rotations is essential for managing clinical placements. You’ll need to submit a rotation request with details such as unit, start/end dates, and student slots. This step is crucial for getting clinical site approval and ensuring the proper placement of your students.

After creating rotations, be sure to assign students enough time to meet compliance requirements before the rotation begins. Students won’t see clinical site requirements in ACEMAPP until they’re assigned to a rotation. Early assignment allows time for notifications, account review, and completion of any required documents—helping ensure students are fully prepared by the start date.

To access your ACEMAPP account, you must verify your email address. A verification email will be sent to each email address associated with your account. Be sure to check both your inbox and spam/junk folders for the email. Click the link provided in the email to complete the verification process. Please note, the verification link is valid for seven days and will expire after that period.

ACEMAPP allows members to upload, share, and store documents. As a school or clinical coordinator, if a document is required by your school or clinical site, it will need to be approved. To manage requirement documents uploaded by your members, please follow the steps below.

Managing Member Tiered Requirements
Tiered requirements are divided into separate groups for completion and are used to manage requirements belonging to a series. Please review the description in the tiered requirement to ensure member documents or completion dates are uploaded/entered into the appropriate group to meet compliance. The student must select only one group to upload/enter completion dates according to how they meet compliance.
Managing Member Requirement Dates
As a school or clinical coordinator, you can enter individual completion and expiration dates for requirements. Bulk uploading requirement dates allows you to enter dates for multiple students at the same time.

Roster (Profile Completion Report) Sent
Rosters track members (students, faculty, etc.) that will be at each clinical site. The rotation roster gives the clinical site access to view the rotation information, member compliance records, and member profile data. The Rotation Roster Set email includes a link to download the Profile Completion Report.
Bulk Upload New Members
Bulk uploading members is a quick and efficient way to add new members for management in ACEMAPP.
Create or Affiliate Member Accounts
School coordinators must create, or affiliate member accounts in order to manage them in ACEMPP. To do this, you must follow the process to create an account for each member. A "member" refers to non-admin users, such as students, faculty, preceptors, and observers. This guide will show you how to create a student account, but the steps are the same for creating accounts for any member.
