This guide is for Assure Admins—school users whose organization uses ACEMAPP Assure for document management and compliance tracking. For detailed instructions and screenshots, refer to the linked help desk guides in each section.managing members in Assure.

Getting Started with ACEMAPP Assure:

Step 1: Create Assure Members and Assign Requirement Package

To begin using Assure, you'll need to add your members and assign them to a requirement package. There are multiple ways to do this, depending on the volume of members and your school’s workflow.

An Assure package is a predefined set of requirements configured during your organization’s Assure setup. This package includes required documents and approval criteria. Once assigned, members will upload documents, which are reviewed by the ACEMAPP Assure team for compliance.

Step 2: Manage Assure Members

After members have been added, school admins can monitor and manage their statuses. This includes verifying package assignments, understanding “Pending Member Approval,” and updating member statuses such as marking them inactive or removing their package assignment.

Step 3: Monitor Compliance & View Assure Documents

As Assure members submit documentation, the ACEMAPP Assure team will review and update their compliance status. School users can monitor this progress, view uploaded files, and provide secondary approvals when indicated as necessary.
In this step, you’ll learn how to:

  • Track submitted documents
  • View member compliance status
  • Manage secondary approvals, declinations, or waivers
  • Approve documents not included in the original package

Step 4: Support for Your Assure Members

Supporting your members is key to a smooth Assure experience. Provide students or faculty with onboarding materials, user guides, and ACEMAPP contact information so they know where to go for help.

Step 5: Reports for Assure Members

Use ACEMAPP’s built-in reporting tools to track compliance, view activity, and audit documentation for your Assure members. You can filter reports based on member type or requirement package to get the data you need.

When running reports, select the following:

  • Reporting Type: Rotation
  • Member Type: Assure Member
  • Filters: Use "Assure Package" for experience-based reporting

Email Verification
To access your ACEMAPP account, you must verify your email address. A verification email will be sent to each email address associated with your account. Be sure to check both your inbox and spam/junk folders for the email. Click the link provided in the email to complete the verification process. Please note, the verification link is valid for seven days and will expire after that period.
Assign Member(s) to Rotation
When you assign a member to a rotation, they receive notification of the rotation details and are prompted to check their account for clinical requirements. Students or Faculty can access clinical site requirements only after being assigned to the rotation.

Managing Member Tiered Requirements
Tiered requirements are divided into separate groups for completion and are used to manage requirements belonging to a series. Please review the description in the tiered requirement to ensure member documents or completion dates are uploaded/entered into the appropriate group to meet compliance. The student must select only one group to upload/enter completion dates according to how they meet compliance.
Managing Member Requirement Dates
As a school or clinical coordinator, you can enter individual completion and expiration dates for member requirements. Bulk uploading requirement dates allows you to enter dates for multiple members at the same time.
Check Member Compliance with School and Site Requirements

Roster (Profile Completion Report) Sent
Rosters track members (students, faculty, etc.) that will be at each clinical site. The rotation roster gives the clinical site access to view the rotation information, member compliance records, and member profile data. The Rotation Roster Set email includes a link to download the Profile Completion Report.
Assure Reporting
Please see the selected ACEMAPP reports that will pull Assure requirement data. Be sure to choose Reporting by "Rotation" and the "Assure Member" type where applicable or "Assure Package" for the (rotation) experience type.

A "member" refers to non-admin users, such as students, faculty, preceptors, and observers.
